Data processed and purposes
- Discord account data for sign-in, account display, and permission checks
- Encrypted Discord OAuth tokens for web sessions
- Server, role, and channel IDs for bot configuration
- Ticket content, assignments, contact logs, and notification preferences
- Aggregated server activity and, unless disabled, member-level message counts and voice time; message content, message IDs, attachments, and presence are not stored for analytics
- Ko-fi transaction data for Premium payments
- Technical logs for security and error analysis
Analytics privacy
Member-level analytics can be disabled globally in the user portal. Existing member-level rows are deleted and future activity contributes only to anonymous server totals.
Retention
Closed ticket channels that are not on hold remain available for no more than 14 days without Premium and 30 days with Premium. The TXT transcript is created temporarily, sent to the configured Discord log channel, and then removed locally. The respective server operator controls the subsequent retention of messages kept in Discord. After the ticket channel is deleted, Umi removes its title, content, and closing reason from its own database. Ticket and audit attribution is removed after no more than two years; contact logs after 180 days, notification logs after 30 days, and resolved technical errors after 90 days. Anonymous aggregates may be retained without a fixed expiry. Statutory retention duties, particularly for payment records, remain unaffected.
Rights
Data subjects may request access, rectification, erasure, restriction, and portability, and may object to processing.
